Closing and Cancelling a Course Selection Section
PURPOSE
This procedure defines the method by which a Course Selection Section is cancelled by the Scheduling Representatives via the Scheduling Office.
PROCEDURE
Scheduling Reps will contact the Scheduling Office via email/change request form with any requests for the cancelation of a Course Selection Section.
Upon receipt of a cancelation request, the Scheduling Office will:
Verify that the Course Selection Section (701) and the real section (001) have the same campus location coded.
If students are pre-enrolled: Immediately close the Course Selection Section using this procedure and verify with the Scheduling Rep that they have informed the student of the impending cancellation. If they have already been notified, Scheduling Office personnel, may cancel the Course Selection Section (701) using this procedure.
Add a Note that reads both the “cancelled” and is followed by the term code. I.e.: “cancelled 1205”.
If no students have pre-enrolled (and block pre-enrolment has not begun which occurs one week prior to course selection start), the Scheduling Office personnel may delete the Course Selection section (701).
Cancel or delete the course section (001) on the Schedule of Classes with this cancel sections procedure and this deleting a component or class section procedure, respectively. A course that has students enrolled in the real section must be accompanied with Associate Dean Approval before it is cancelled. If there are no students involved then you may go ahead without approval.
Cancelled Course Selection Sections do not carry forward but the 4 digit class number of this section needs to be maintained for pre-enrolment history
