Onboarding/Offboarding new Scheduling staff

This is intended to be a quick overview of how to give/remove access to FT permanent/contract staff that are in the Scheduling department within the Registrar’s Office. Also the access that should be given to a Co-op/Work Study student onboarding. for offboarding - do everything, but in reverse (instead of asking for it to be added, ask for it to be removed…obviously.)

 

Full time/Contract staff

Create a Jira for Onboarding through the RO Admin (https://uwaterloo.atlassian.net/servicedesk/customer/portal/48) then “Onboarding/Offboarding Staff”

  • This gives them access to WatRooms to book desk space, and they will be added to the RO Staff teams channel, also that their Watcard will give them access to EC2.

Create a Jira for regstep access (https://uwaterloo.atlassian.net/servicedesk/customer/portal/48 ) then “General Technical Support Requests”

  • Add them to regstep email account and ask for computer peripherals (keyboard, 2nd monitor, mouse, laptop, headset, etc.), added the general RO email lists

Create a Jira for their Quest access (Jira - Scheduling) then “Request Quest Access”

  • Usually, give another userid of a scheduler who hasn’t left yet the access they have currently so that Quest can simply mirror their security accesses.

Create a Jira to IST for Timetabler access through the VDiApp (Jira - backdoor ticket)

  • A ticket also needs to be created to IST to get the user added to the Infosilem-Users Nexus group

Create a Jira for access to Campus/Timetabler the application (Jira - Scheduling) then “RO Scheduling Access”

The two roles to be added under Room administration Units are “SO” and “SO and Booking” why you may ask. Excellent question let me tell you. It’s all based on the room administration patterns, the rooms under SO have the room admin pattern of scheduling office only attached (they currently are the “Flex rooms and that weird CPH 1346 room that we can’t even book into. The SO and Booking rooms all have a “shared” room admin pattern, and this is where the majority of rooms we manage are grouped under. This is why we have to attach both room admin units!

  • This is sent to the scheduling queue, using Campus Admin they can have their roles added. Also, log into the current Timetabler database and then add them as a user

  • Log into Campus Admin

  • Step 1: Add the role of “Web Scheduler” under User account details

  • Step 2: Add the Room administration units of “SO” and “SO and Booking”

  • Step 3: Once you’ve attached the Functional Unit of Scheduling Office within Campus Admin, the scheduling Data Sets that should be attached are:

    Ad-Hoc, Course and Final Exams

     

    If the scheduling data sets aren’t there automatically, log into Campus Web, and under Administration then My functional Units

     

  • This grouper will give the ability to add/remove users from the “Infosilem Academic Suite Registrar Users“ grouper. This group gives access to allow the user to log on to the VDI server to log into Timetabler, and will give access to the My Views folder. https://grouper.private.uwaterloo.ca/grouper 

Add them to the Scheduling and Exams Teams channel

Add them to the scheduling group to be included with regstep Jira’s

Email Aarik to ask for them to be added to the scheduling group that when a Jira is made from regstep it also goes to their person uwaterloo email.

Onboarding Co-op/Work Study students to work in the Scheduling Office:

Create a Jira for Onboarding through the RO Admin (https://uwaterloo.atlassian.net/servicedesk/customer/portal/48) then “Onboarding/Offboarding Staff”

  • This gives them access to WatRooms to book desk space, they will be added to the RO Staff teams channel.

Create a Jira for their Quest access (Jira - Scheduling) the “Request Quest Access”

  • Request view-only access to Quest (similar to what Scheduling Reps have)

Create a Jira for access to DCU (Jira - Scheduling) then “RO Scheduling Access”

  • This is sent to the scheduling queue, DCU View only should be added, and all subjects in view only.

Add them to the Scheduling and Exams Teams channel

Add them to the UW Scheduling Reps team channel
