How to onboard/offboard staff (the IT side)

Here are the steps to follow in order to onboard a new staff member successfully from an IT services perspective.

 Instructions for the supervisor

  1. Ensure that you have provided a computer for the new staff member to use on the start date - including a webcam and headset.

  2. Provide Health Computing with the information requested on the https://uwaterloo.atlassian.net/servicedesk/customer/portal/166/group/1673/create/11739 form.

  3. If this staff member will be working in the Dean’s office, complete the https://forms.office.com/pages/responsepage.aspx?id=h1o6cprzIkqSRz_CQMATlpe6X5LCrUpBg0X5iye7oK5UN01HQk5XSkZUMVdMR0RLUVJaODNXMTdVWi4u&web=1&wdLOR=c5AD94D10-2BF9-46CC-85C4-46862AD745CE for Dean’s Office R: Drive Permission Request.

  4. If the new staff member requires access to Adobe Acrobat Pro, have them fill out the https://uwaterloo.atlassian.net/servicedesk/customer/portal/2/create/2032?src=2137248069 request form from IST indicating that you are the supervisor approving access.

  5. Teams: Add the new staff member to any department or unit Teams as appropriate.

  6. Mailing Lists: Add the new staff member’s email address to appropriate email lists (lists.uwaterloo.ca)

  7. Make sure if requiring assistance with setting up the new staff member on the day of arrival on their device to book a time with one of the health computing team to meet and go through the setup. Allow for 1 hour for setup.

  8. When the staff member leaves submit a form so we may remove permissions from the user.
