Email - Scheduling Cycle Review
Determining the dates for the upcoming term is usually a meeting between someone from the scheduling office, and someone from the records system team.
Below are some notes to help us remember what we do during this meeting.
When picking dates for the Fall term we need to confirm with Jennifer Coghlin what the Mass Matriculation date is (We start with the Mass Matriculation date, which is typically the third Friday in June)
Converting the dates on the calendar from last year to this year (e.g., if picking Scheduling dates for Winter 2024 then use the Winter 2023 as a base document)
enter the new date and cross out the old date (so we know what is changed)
talk about the dates to make sure it make senses
Template with some logic noted: Master Cycle Memo
Once we finished with the dates then we are confirming enrollment dates with Records Systems team and Christina Treusch in GSPA
For Records systems – e.g., “we have usually done appointments on Monday/Tuesday and open enrollment on Wednesday. The only time we don't is if there is a holiday Monday”
Then Elysia will send the dates off to UTC for review once she has approved it on schedulings end
This email should be sent out to UTC to ensure that the upcoming scheduling cycle dates and terms look good to them.
