Recruitment Plan

Objective:

When entering F24, the team is willing to recruit first-year new members interested in Engineering or upper-year students who want to expand their expertise. Our team discussed how to make the recruitment process smoother, and the following six sections highlight the key solutions our team has established.

Documentation

Over time, our team found the importance of effective communication because it reduces the number of intermediate information relays that lead to information loss.

  • task description document

    • Task objective

    • Resources

    • Key decision meeting minutes

    • Timeline

    • Update

  • comprehensive system explanation document

    • System requirements

    • Constraint

    • Architecture diagram

  • Subteam-specific project requirement

    • System research reference

    • Project weekly update

    • Risk analysis

    • System integration plan

Mentoring

Currently, most of the team's core members are reaching their third year; our team has reached a state where we can pair senior members to help guide new members and support them in finishing their tasks with excellent quality. Our team will implement two main solutions to help new member onboarding.

  • Bi-weekly check-in with the product manager

    • Ensure everyone is on the right track

  • New Advisor role

    • focus more on helping the new member to understand the system rather than the technical aspect of the rover

General Meeting

Our team have observed a significant team momentum loss after midterm due to the high stress accumulated over the period. Therefore, starting from S24, our team has scheduled a general meeting at the beginning of the term and another one after midterm to show all the members the progress our team has achieved and the important things that need to be accomplished.

Work session

During the development of the drivetrain system, our team realized the importance of grouping everyone on the same project and conversing about features across different subteams. The work sessions have been used for the last two terms and have significantly increased our attendance from less than five people to around 15 for most of the sessions.

For new members our team also purchase a small Arduino robot for new members to try and experience programming for the first time before working with the more complicated rover system.

Demo Session

After completing the current drivetrain system, our team gave everyone interested in trying to control Rover with the controller. The event engaged many team members and new members and reduced the ineffectiveness of learning about other systems during work sessions.

Attending open houses and social

Our team have always had a good record of attending all open houses organized by the school. The two main ones recently are the following:

  • alumni day

  • Airbus company(Navblue) bay demonstration

Our team enjoys talking to others during events and is interested in recruiting new members.

Our team is planning on attending the Fall open house, and we will showcase our drivetrain systems and let everyone try them in a controlled environment.

COOP program

Our team has set up a list of deadlines for completing all the systems before the URC 2025 System Acceptance Review. Since most of our core member team is about to enter 3A, we evaluated and thought hiring one coop would help our team make the URC 2025 deadline and, as a team, have enough expertise to make them successful in their future careers. Our team is going to post the Job description in Cycle 5.

This is the Job description our team have prepared.

Capstone project

The capstone project is another area from which our team can benefit. There are many advanced topics in robotics controls with the help of the fourth-year people working with the team through the final year design project. Our team will hugely benefit from it.

Project Proposal:

  • Daily object detection, approach and pick up.

    • The system can detect any daily object and automatically approach the object and pick up the object.

  • Soil sample collection and transportation

    • The system is able to collect soil samples and safely seal the sample and transport the sample back

Next step:

  • Consult with Professor in the robohub and see how to tune our project for the final year design project requirement

  • Advertise our proposal and engage the fourth-year team’s interests
