How To Request A M365 License

  1. Request a sponsored identity via the existing Jira form and claim the identity to activate it

  2. Login to the UW M365 License Portal

  3. From the Home screen, click the Request License button to browse to the Decisions form

  5. Enter the WatIAM/NEXUS accounts you wish to license and click Add user to add them to the list or you may upload a CSV file with a list of WatIAM/NEXUS user IDs

    1. CSV files must contain a single header row before the list of User IDs - just the user ID is required

    2. Each request is for one specific license type, so if you have multiple accounts that require different M365 license types, you will need to submit the form separately for each type.

  1. When an account is added, verification is done to ensure the account is valid and can be licensed. 

    1. If verification passes, it will be put into the Added accounts list.  If one was added in error, you may select a user from that list and click Remove selected user.

    2. If there were any errors with the account being added, the error will be displayed in the Errors box to the right

  2. Click Next once all accounts have been added

  3. On the next screen fill out all the required fields as necessary

  1. Required Fields

a. M365 License Type – the type of license you want to grant to the account(s)

b. Reason for request – the use case for the requested license

c. Expiration date – this can be any date between the current day and a maximum of 1 year from the current day

d. Sponsoring department – select the department for which is sponsoring the license (if the department name is not listed, please contact helpdesk@uwaterloo.ca for assistance in getting one added or finding the correct one)

  1. Optional Fields

a. Notification contact – this can be a backup person, or maybe a distribution list of people who may be responsible for managing the license for the account(s)

b. Additional comments – these can be useful information for all responsible parties to store information regarding the use case, or other information that might be helpful to assist in the ongoing management of the license sponsorship

  1. Once all fields are entered and validated, click Submit

  2. Upon submission, a Jira ticket will be created and a popup will be displayed containing a link to the License Portal and the Jira ticket associated with tracking the license provisioning

Approval requests may take up to 48 hours to be processed.

  1. You may now go back to the UW M365 License Portal to obtain the status of your submission via the My Sponsorships page (it may take 1-2 minutes for the requested account(s) to be visible)

  2. A request will be sent to the IST Service Desk to Approve or Reject the license sponsorship request.  Upon response, this will be reflected in the portal (if Rejected, this will appear in the Archived tab upon completion of the job)

  1. If Approved, the license will be provisioned and fully accessible by the requested account(s) within 24 hours.
