Managing appointments and meetings in Outlook

Receiving meeting requests

When you are invited to a meeting, you will receive an emailĀ and an eventĀ will appear in your calendar markedĀ Tentative. Notice that the meeting invitation shows a miniature calendar symbol.

Responding to meeting requests

It is a good practice to respond toĀ meeting requests as you receive them.Ā This helps to ensure that the most up to date information is in your calendar, and will help to keep meeting requests from cluttering your inbox.

  1. Open the meeting request email. This emailĀ includes the meeting details and whether there are any existing events in your calendar that conflict with this meeting request.

  2. Select your response by clickingĀ Accept,Ā TentativeĀ orĀ Decline.
    Note: If you decline a meeting, it will disappear completely from your calendar.Ā 

  3. SelectĀ Edit the Response before Sending,Ā Send the Response NowĀ orĀ Do NotĀ send aĀ Response.
    Note:Ā If youĀ don't send the response, the meeting organizer will have no way of knowing whether you plan to attend or not.Ā 


Updating your response to a meeting request

  1. Locate the meetingĀ in your calendar and right-click on it.

  2. Select your response, by clicking onĀ Accept,Ā TentativeĀ orĀ Decline.
    Note: If you decline a meeting, it will disappear completely from your calendar.Ā 

  3. SelectĀ Edit the Response before Sending,Ā Send the Response NowĀ orĀ Do NotĀ send aĀ Response.
    Note:Ā If youĀ don't send the response, the meeting organizer will have no way of knowing whether you plan to attend or not.



Recovering a declined meeting

If you decline a meeting,Ā it will disappear completely from your calendar. Within 30 days ofĀ declining the meeting, you can retrieve itĀ from yourĀ Deleted ItemsĀ folder and updateĀ your response.

  1. Select yourĀ Deleted ItemsĀ folder.

  2. There will be two items in yourĀ Deleted ItemsĀ folder related to the declined meeting:Ā a meeting request email and a calendar event. Select the meeting request email.

  3. Select your response, by clickingĀ AcceptĀ orĀ Tentative.Ā 

  4. SelectĀ Edit the Response before Sending,Ā Send the Response NowĀ orĀ Do NotĀ send aĀ Response.
    Note:Ā If youĀ don't send the response, the meeting organizer will have no way of knowing whether you plan to attend or not.

Managing your appointments and meetings

UpdatingĀ appointments and meetings

If your appointment/meeting details change or you would like to includeĀ further details, you can edit the event in your calendar.

  1. Locate the event.

  2. If it is a recurring appointment/meeting, select whether you want to updateĀ Just this oneĀ orĀ The entire series. ClickĀ OK.

  3. Make your changes/updates.

  4. For appointments, clickĀ Save & Close.
    For meetings, clickĀ Send Update.Ā 

  5. If you've added or removed peopleĀ fromĀ aĀ meeting, select whether you would like toĀ Send updates only to added or deleted attendeesĀ orĀ Send updates to all attendees. ClickĀ OK.

Checking responses to your meeting request

After you send out a meeting request, recipients have the option to respond with Accept, Tentative, or Decline. They also have the option of sending you an email with their response. If they do not send you the email, you will not know whether they selected Accept, Tentative, or Decline, and their status will remainĀ None.Ā 

To viewĀ responses:

  1. Locate the meetingĀ in your calendar and double-click on it.

  2. In theĀ MeetingĀ tab, clickĀ Tracking.
