Assign granular form results access

Site owners with form editor permission can give users who don't have the Form editor or Form results role access to certain features for specific web forms. 

The users must first be added to the People list as a UWaterloo user or an external user before assigning specific user access. Refer to How to add/remove user access for more information on how to do so. No roles need to be assigned to these users.

There are five different types of access:

  • View any submissions: allows specified users (separated by a comma) to view all form submissions through the Results tab.

  • Delete any submissions: allows specified users (separated by a comma) to delete form results.

  • Purge any submissions: allows specified users (separated by a comma) to purge form results.

  • View own submissions: allows specified users (separated by a comma) to view their own form results. Other submissions will not be visible to them.

  • Test webform: allows specified users (separated by a comma) to test the form in the Test tab and submit auto-filled entries.

The Access tab allows you to configure who can view and submit the web form as well as configure granular form results access.

Configure who can submit the form and add granular form results access

  1. From the administration bar, select Workbench, then select My Dashboard.

  2. Navigate to the Forms List.

  3. Locate the form you want to configure and select the drop-down menu under the Operations column.

  4. Select Settings.

  5. Select the Access sub-tab.

  6. In the Create Submissions section, select who can view and submit the form.

    • Everyone: authenticated and anonymous users.

    • Users who are logged in: authenticated users.

    • Users specified by Active Directory groups: users in specific directories. The Active Directory name entered in the field is case-sensitive and should match the group name in ADFS.

    • Users specified below: specific users, separated by a comma.

    • Users who are logged out: anonymous users.

  7. Navigate to the type of access (View any, Delete any, Purge any, View own, Test) that you want to configure.

  8. Begin to type the user’s name or WatIAM ID in the Users field and select them from the drop-down list. Separate multiple users with a comma.

  9. Select Save.
