References (formerly Publication references)

Publication references were renamed to References in the WCMS 3.2.20 release in June 2025. They were called Bibliographies in WCMS 2.

What is a Reference?

The Reference content type contains information similar to a bibliography or citation and appears on the Publications listing page. There are 36 supported publication types, including: Book, Book Chapter, Conference Paper, Journal Article, Patent, Software, Web Article, and more.

Create a Reference

From the administration bar, select Workbench then My Dashboard.

In the Reference box, select the Add button beside Reference.

Select the reference type you would like to create from the provided list.

Note: For the purposes of this document, we will be going through how to create a Journal Article reference, as it is one of the most common reference types and many other reference types have similar fields.

Required fields

In the Title field, enter the Reference title using sentence case.

Under Publication, enter the Year of Publication and the Journal where the reference is from.

Select Draft from the Revision state field.

Select Save at the bottom of the page.

Optional fields

Optional information can be added to References. Navigate to the Edit tab of a Reference:

You have the option of adding the Authors for your Reference.

Enter the Author name in the text field.
Select a Category of the Author.
Select the Author Role

To add another Author, select Add another item and follow steps 1-3.

You can add an Abstract for your Publication reference by entering the Abstract information in the provided text box.

Aside from the required Year and Journal fields, you can enter further information about the Publication reference.

You can enter the Volume, Start Page, Issue, Number of Pages, Date Published, Type of Article, Masters Thesis, and Reprint Edition in each respective text field.

You can add any applicable Identifiers to your Reference.

Manually enter the ISBN Number, Accession Number, Call Number, Other Numbers and PMID as available in your reference.

You can enter a URL and DOI for your reference.

In Alternative titles, you can enter a Short title, Alternate Journal, and Original Publication for your reference.

In Other you can add Keywords and any Related files for your reference.

The Revision log message is an option to comment on the update and changes to the Reference. This message will appear in the entry when viewing the Revisions tab of the Reference.

The Reference automatically generates a URL based on the page Title and its place in the site hierarchy. It is best practice to select Generate automatic URL alias for uniformity across your site. To create a custom alias:

Unselect the Generate automatic URL alias box.
Manually enter a new URL alias.

Note: Do not add a trailing backslash (/) to the alias. Replace any spaces with a dash (-). When entering a custom URL make sure it is reflective of the content that it will be displaying.

Authoring information allows you to change the author information for the Web page. Authoring information defaults to the user who created the page and when the page was created originally.

Filling out the Authored by field allows you to select a user to be displayed as the page author.
The Authored on allows you to manually sets the date and time the page was created.

Delete (site managers only)

The Delete tab is only visible to site managers. The Delete tab permanently deletes a Reference and all associated content.

To delete a Reference:

Select the Delete tab.
Select the Delete button.
