Revision and current states
Each Content type can be saved in different states: Published, Draft, Needs review, or Archived.
In WCMS 3, the current state can be found in two places:
Edit tab: at the bottom by Current state
Layout tab: top of the page by Current state
It will display the current state that the page is in and allows you to change the state of the page through a drop-down menu.
The four current states:
Published content is "live" and will appear on the website.
Draft leaves the authored content in draft form. It will not be visible to site visitors and will show as unpublished on My Dashboard.
Needs Review can be used to add content to a list of items that must be reviewed and published by the content editor or site manager.
Archived content is treated as if it were in a recycle bin. Archived content will not appear on the site, and Site managers will have the option to permanently delete any content that is archived.
Content authors can only change the revision state of content to Draft or Needs review. Content editors and Site managers have permission to change the revision state to all four states.
Note: Keep in mind that the state will be carried over when changes are made in the Layout tab. Therefore if you wish to create a new draft, change the revision state to draft prior to saving the new page. When creating a new draft from a published state, a new tab will appear within the content tabs called Latest version, where you can preview your new draft before publishing it.
Change the current stateÂ
From the administration bar, select Workbench, and then select My Dashboard.
Navigate to the Content list.
Select the content item you wish to change the revision state of.
Select the Edit tab.
At the bottom of the page, select the Change to: drop-down menu.Â

Select the desired revision state.Â
Select Save.Â
Note: You can also select the Layout tab to change the revision state, then select Save layout at the bottom of the page.
