User Codes

Many of the printers and copiers have access codes that you need to enter in order to print or copy. Codes can be obtained from department administrators.

Type of print jobs

  1. Normal Print - your job will print immediately when it arrives at the printer;

  2. Hold Print - your job will be held at the printer until you (or someone else) releases it for printing. Use this option if you need to print on special paper;

  3. Locked Print - your job will be held at the printer until you release it by providing the password entered at the time of printing (consisting of 4-8 digits entered into the ‘password’ option).

Options when printing from Windows

Enter your user code by clicking on the “User Code Settings…” button on the Basic tab and then entering the assigned code in the “User Code Setting” input area (below).

Change to Black and White printing using the Color Mode option on the Basic tab (below).

Change between Normal, Hold and Locked printing by clicking on the “Modify” button next to the Job Type on the Basic tab (below).

For Hold Print and Locked Print, you can provide a file name that will appear in the listing to help you identify the different print jobs in the listing.

If you choose Locked Print, you will need to enter a 4-8 digit password that you will then enter when releasing the print job at the printer.

Options when printing from a Mac

Enter your user code by clicking on the “Job Log” information button under the Printer Options. Then check the “Enable User Code” box and and enter the assigned code in the User Code input area (below).

Change to Black and White printing by clicking the “Printer Features” information button under the Printer Options and set the Color Mode to “Black and White” (below).

Change between Normal, Hold and Locked printing by clicking on the “Job Log” information button under the Printer Options. Then choose the Job Type you want (Normal, Hold or Locked).

For both Hold Print and Locked Print, you can provide a file name that will help to identify the document when you get to the printer.

If you choose “Locked Print”, enter a 4-8 digit password the Password input area. You will need to enter this password when releasing the job at the printer (below).
