Archive a Publication issue

How to archive a Publication issue

Site managers are able to archive old issues of Publications. Site visitors will be able to access archived issues of the Publication via the Archives menu link.

Essentially, you need to create a new Publication issue (the same way you had for the initial issue), create content and place it under that new issue; once you're ready for the new issue to be the newest live issue, you simply change the 'current issue' under uWaterloo Publication Settings. The 'old' issue, what had just been live, will automatically archive you just need to enable the Archive menu.

  1. Create a new Publication Issue to replace what will be the archived Publication issue.

    • For example, create a new issue, Issue 2021, to replace the current issue, Issue 2020.

  2. Create content and place it under that new issue.

  1. Ensure the following have been completed for the issue:

    1. Enter a Description of this Publication issue. Note: If this issue is archived in the future, this information will display on the Archived listing page.

    2. Enter a Publish On date. Note: You must enter a date that has passed for this issue to display on the Archives page. If you enter a future date, the issue will automatically self-publish on that date.

    3. Upload a Cover Photo for this issue. Note: If this issue is archived in the future, this information will display on the Archived listing page.

  2. Once you're ready for the new issue to be the newest live issue, change the 'current issue' under Publication Settings.

    • In the example from step 1, Issue 2020 will automatically become archived.

  3. Enable the Archives menu link. The Archives menu link has been created but is currently disabled from your menu.

    1. Dashboard > Menus > list links Main menu > check box for Archives menu link > Save configuration.

  4. The Archives menu link will be available to users at: uwaterloo.ca/publication-site-name/archives

Archived publications will continually be added to the Archived listing page, displaying in reverse chronological order, with the most recently archived issue sitting at the top of the list.
