Adding a media item (file, icon, image, local video, or remote video)

Types of media items

  • File uploads are used to attach files such as PDFs to any page on the website. Common file types supported on WCMS 3 include bib, cvs, doc, docx, mp3, pdf, ppt, pptx, txt, xls, xlsx, and zip files.

  • Icon uploads are generally small images that can only be used in specific places, for example in the links block. Icons support the png, gif, jpg/jpeg, or svg file types.

  • Image uploads are for images that are used more generally, for example in banner images, the image and image gallery blocks, and inserted into copy text blocks, and allow optional cropping and captions in some use cases. Images support the png, gif, and jpg/jpeg file types.

  • Local video uploads are for silent, looping videos that can be used in banners. Only the mp4 file type is supported. Local videos can be a maximum of 3 MB.

  • Remote video embeds are for videos from YouTube or Vimeo that are embedded in pages using the remote video block.

Uploading a file, icon, image, or local video to a media item from the dashboard

  1. From the administration bar, select Workbench, and then select My Dashboard.

  2. Under Media, select Add next to File, Icon, Image, or Local video.

  3. Add a Name.

  4. Depending on the media type you are adding, you will see some subset of the following options under a file, image, or video file header:

    • Upload: Find an item using the file browser to upload from your computer.

    • Remote URL: Enter the remote URL of the item you would like to upload to the site (NOTE: ensure you are permitted to use the item.) 

    • Reference existing: Select a file that has already been uploaded to your site to reference under a different name. This prevents numerous copies of the same file from being uploaded and stored.

    • Clipboard: Paste an image from your clipboard to be created on your site.

    • Waterloo Photos: Select an image from Waterloo Photos to be uploaded to your site. (NOTE: currently non-functional due to changes in to the Waterloo Photos system.)

  5. Select Save.

Best practices: Avoid uploading numerous copies of the same file by searching for the file beforehand if you are unsure if it already exists on the website.

Creating a remote video media item from the dashboard

  1. From the administration bar, select Workbench, and then select My Dashboard.

  2. Under Media, select Add next to Remote video.

  3. Add a Name.

  4. Add the Remote video URL from either YouTube or Vimeo (note that videos must be publicly available to be embedded).

  5. Select Save.
