How to onboard/offboard a co-op student (the IT side)

Here are some steps to follow in order to onboard a co-op student successfully from an IT services perspective.

 Instructions for the supervisor

  1. Ensure that you have provided a computer for the student to use on the start date - including a webcam and headset.

  2. Provide Health Computing with the information requested on the Co-op ONboarding form.

  3. If this is a Dean’s Office co-op student, complete the Dean's Office R: Drive Permission Request form.

  4. If the student requires access to Adobe Acrobat Pro, have them fill out the https://uwaterloo.atlassian.net/servicedesk/customer/portal/2/create/2032?src=2137248069 request form with IST indicating that you are the supervisor approving access.

  5. Teams: Add the student to any department or unit Teams as appropriate.

  6. Mailing Lists: Add the student’s email address to appropriate email lists (lists.uwaterloo.ca).

  7. Make sure if requiring assistance with setting up student on day of arrival on there device book a time with one of the health computing team to meet and go through the setup. Allow for 1 hour for setup.

  8. At end of co-op term please submit an offboarding form so that we may remove permissions from the user. You can do so through the https://uwaterloo.atlassian.net/servicedesk/customer/portal/166/group/527/create/11672 form.
