Review IST knowledge base (KB) article on how to choose between Teams or SharePoint
Complete the migration checklist including:
Identify any Access database files within your R: drive folders.
Identify automated processes that are linked to R: drive folders (e.g., scripts)
Enter the migration details in the green columns of the migration report. Note: the migration report is an excel spreadsheet that was shared separately with contacts.
If you have any questions about the report or how to access it, contact your IST Migration Facilitator need link
Please be aware that some files may need to be renamed and/or reorganized as there is a maximum file name path length in Teams and SharePoint and some characters are unsupported
Your IST Migration Facilitator will be able to identify these for you using the SharePoint Migration Tool need link
Review and cleanup R: drive date ensuring:
The department complies with Policy 46 – Information Management
Information is classified by its use (e.g., HR, IT support, student services, etc.)
Retention and/or deletion of data complies with the University records retention schedules
Contact Chris Halonen, University Records Manager, if you have any questions regarding data retention
For confidential information and data on the R: drive:
Work with your IST Migration Facilitator to identify the folder owners
Work with leadership in your department to identify who should have access to the content and where the content should be moved to
For any highly confidential data, determine if a non-disclosure agreement (NDA) will be required for the IST Migration Facilitator as they will have temporary access to the data during the migration need link
Contact your IST Migration Facilitator to schedule a meeting to review the migration process, develop a plan, and answer any questions
If your IST Migration Facilitator does not hear from you, a meeting will be scheduled for you
