The permission to view free and busy times in your calendar changed with the migration from Exchange to an Office 365 mailbox. You may need to modify your Office 365 mailbox calendar permissions to suit your own needs. This article describes how to set or change permissions.

Note: It is best practice to review the Calendar Permissions list each term, when there are staff changes in your department, or when the membership changes on a committee. 

Setting permissions for someone on your calendar

To change permissions for someone see the instructions below.

  1. Open Outlook for Mac.

  2. Click the Calendar icon towards the bottom-left of the Outlook window.

  3. Right-click your calendar under My Calendars in the left navigation list and then select Sharing Permissions… from the pop-up menu list. Or with only your own calendar visible click the Calendar Permissions button on the ribbon.

  4. Click the add user button [plus sign] at the lower-left of the Calendar Properties: Permissions window.

  5. Enter a name you wish to search for in the search field. It will provide a list of suggestions of users, distribution lists, and resources from the Global Address List.

    1. Click to select the name you want to choose from the list.

    2. Click the Permissions menu below the list of names and select the appropriate level of access from the six available options:

    3. Then click the Add button at lower-right.

Setting appointments as Private

Click the Private button on the ribbon when creating an appointment in your Calendar

Or

Right-click on the appointment in your Calendar and select Private from the pop-up menu.

Important: Even if you share and grant Read permissions to your calendar to another user, they will not be able to see the details of your private appointments.

By default, delegates do not have access to private items, but you can change this option when assigning Delegate permissions.

Changing permissions for someone on your calendar

  1. Select a name in the User list and then either

    1. change the level of permissions using the menu at the right of the entry.

    2. Or click the Minus button [-] towards the lower-left to remove the user from the Permissions list.

  2. Click the Done button at bottom-right to close the Calendar Properties: Permissions window
