This guide contains instructions for how to transfer emails from one Microsoft 365 email inbox to another Microsoft 365 email inbox.

This guide will only apply for the Outlook desktop app on Windows. Unfortunately, the web version of Outlook does not have the same functionality.

This guide contains instructions for how to transfer emails from one Office 365 email inbox to another Office 365 email inbox. This is particularly useful for users who want to transfer emails from their @edu.uwaterloo.ca inbox to their @uwaterloo.ca inbox.

Note: If both accounts have already been added to Outlook you can skip the first section and proceed to the section(s) below.

Adding both accounts to Outlook

  1. Go to Files > Info > +Add Account

2. Enter your 8-character Enter the username@uwaterloo.ca of the first account (Your username is your 8-character UWaterloo username, e.g. j25rober@uwaterlooj02smith@uwaterloo.ca).

Some users may receive a "The account has already been added" error. To resolve this, they will need to remove the old @edu.uwaterloo.ca account before adding their new account.

3. If asked, select:

  • Office Microsoft 365 if your email is under Office Microsoft 365 (which can be logged in at portal.office microsoft365.com)

  • Exchange if your email is under Connect (which can be logged in at connect.uwaterloo.ca)

4. Enter your UWaterloo passwordthe password of the first account.

Office Microsoft 365 users will have their @uwaterloo.ca inbox added by now. However, Connect users (username@connect.uwaterloo.ca) will need to follow Configure Outlook for Windows

5. Repeat Step steps 1 to 3 , to add username@eduuwaterloo.onmicrosoft.comto add your second account (e.g personal account)

6. Enter your UWaterloo second account password. Your edu email should be added by now

7. Restart Outlook to view your new accountaccounts

8. Now that the 2 accounts are added to Outlook, follow the steps below to move the entire inbox.

Moving the entire inbox

Note

We recommend making a backup file of your emails before starting the migration. Please follow the steps on how to do so from Microsoft!

In the instructions example below, emails are being moved from the eduuwaterloo.onmicrosoft.com second inbox to the uwaterloo.ca first inbox.

  1. Go to Files > Account Settings > Account Settings, choose

3. Close the tab. Go back to your Outlook inbox, right-click your eduuwaterloo.onmicrosoft.com second inbox > Copy Folder

4.Select your  new uwaterloofirst inbox (username@uwaterloo.ca inbox)

5. Click OK. It will start transferring your email.

6. Your old email will appear as a subfolder named inbox under your inbox. You

7. You can verify online that the transfer was successfully successful by visiting portal.office microsoft365.com 

8. Sign - in with the email account you want the emails to end up in. For users migrating from @edu.uwaterloo.ca to @uwaterloo.ca, sign in with to the first inbox (username@uwaterloo.ca ) to check for the emails

Moving selected emails

Note

We recommend making a backup file of your emails before starting the migration. Please follow the steps on how to do so from Microsoft!

  1. With the Windows Outlook app open, select the emails from the inbox that you would like transferred

 For users migrating from @edu.uwaterloo.ca to @uwaterloo.ca, you will be selecting mail from your @eduuwaterloo.onmicrosoft.com inbox

    1.  To select multiple emails, hold the Control key and click on the emails you would like, selected emails will be highlighted in light blue

You may want to transfer emails in batches if you have a large inbox.

Click on the first email you would like to transfer, then holding the Shift key, select the last email you would like to transfer. The emails listed in between the selected emails, will be transferred in a batch.

2. You can now drag and drop the emails into the inbox you would like

a. For users migrating from @edu.uwaterloo.ca to @uwaterloo. ca, you will drag and drop into your @uwaterloo.ca inbox. b. You need to drag and drop to the "Inbox" folder itself, dragging and dropping to the email address listed will not work

It may take some time for the transfer to complete - you can view your inbox in the Windows Outlook app to confirm if the emails were transferred or proceed with Step #3.

3.(red star) You MUST verify online that the transfer was successfully successful by visiting portal.office microsoft365.com. Failure to follow this step may result in a loss of emails.

4. Sign - in to the inbox with the email account you want the emails to end up in. For users migrating from @edu.uwaterloo.ca to @uwaterloo.ca, sign in with username@uwaterloo.ca transferred emails to check for the emails
