As of June 2020, meeting rooms are to be reserved/booked through the Outlook calendar. The CIS Meeting Rooms is no longer active.
You can reserve a meeting room itself and/or reserve a meeting room along with attendees.
Reserving a Meeting Room
- Open Outlook
- Click the Calendar icon in the bottom left corner of Outlook
- Click New Meeting
- In the meeting window, type in the appropriate information
- Choose the date, time, and any other additional information
- Click Room Finder to choose the meeting room
Health Services meeting rooms: type "H" to find and select HS Rooms
Needles Hall meeting rooms: type "N" to find and select NH Rooms, once you click NH Rooms you will be presented with all of the meeting rooms in NH (including non-CW) under "Choose an available room:" you will need to scroll to find the CW rooms.NOTE: Only CW staff members have access to these rooms.
- Once HS Rooms or NH Rooms is selected, under "Suggested times:" shows you how many available rooms there are at the time you've selected
- Select the room by double-clicking, this will add the room to the Location and the Required Attendees
- Once sent, Outlook will send you a confirmation email:
Reserving a Meeting Room with Attendees
- Open Outlook
- Click the Calendar icon in the bottom left corner of Outlook
- Click New Meeting
- In the meeting window, type in the appropriate information
- Choose the date, time, required attendees, and any other additional information
- Click Room Finder to choose and view the meeting rooms
- In Room Finder there is a calendar, this calendar shows the availability of the people you have entered as Required: "Good", "Fair", or "Poor"
Below the calendar you can select the meeting rooms you'd like to view in the "Show a room list" drop down:
For Health Services meeting rooms: type "H" to find and select HS Rooms
