This procedure describes This procedure outlines the method used to book rooms using Campus room booking software, surrounding Friday Night Standard TST slots, to prevent two groups from a conflict about who rightfully booked a space. This procedure will allow instructors prior/subsequent access to midterm exam rooms to prepare and tear downroom requests during Friday night standard TST slots that prevent conflicts and optimizes the use of centrally managed classrooms. It guarantees set up/tear down time and prevents overlap to optimize the use of available space.

PROCEDURE

Friday night standard midterm timesTST slots are:

4:30 – 6 p.m. 6(16:30 – 8 p.m.

8:30 – 10 p.m.

During the regular term dates (full term not including final exam period):

If another type of booking has a requested start time of:

6:00 p.m.– book the room starting at 4:30 p.m.

8:00 p.m.– book the room starting at 6:30 p.m.

10:00 p.m.– book the room starting at 8:30 p.m.

If another type of booking has a requested end time of:

4:20 p.m.– ensure the requestor knows to vacate before 4:30 p.m. for any potential midterms that may follow.

Generally, we will not straddle any of the standard midterm times nor book two slots.

For academic event exceptions: Justification - 18:00)

6:30 – 8 p.m. (18:30 - 20:00)

8:30 – 10 p.m. (20:30 - 22:00)

We will not assign a room on a Friday night that overlaps two or more midterm slots nor will we book two or more slots for one event.

Exceptions with approval from the Associate Dean will be considered . Book two slots or more slots if approved.

For academic event exceptions: If requests are made after a term is already underway and the event is to occur within 14 days of the request coming into Bookings, straddling two or more Friday night test slots is possible. If the event is to occur 15 days or more after the event is requested, Bookings will seek permission to book outside the 1.5-hour slots listed above from the Registrar's Office.

Exceptions will also be made after the start of the term for non-academic events that will take place within two weeks of receiving the request. All other non-academic booking requests must be made in writing to the Manager, Scheduling via Bookings Office staff members, the manager will then confer with the Scheduling Office team to come to a decision.
