An external signer is an individual not employed by the University; they are external partners, vendors, or stakeholders.

External signers will receive a notification when they are required to review and sign a document. They will access the document via a link in the notification message and then enter a secret password provided by the project initiator. 

Step-by-step guide

  1. Sign into ConsignO at the following at https://uwaterloo.ConsignO.com/login using your 8 character UWaterloo userid@uwaterloo.ca (i.e. myuserna@uwaterloo.ca)

  2. To start a new project, click on New Project in the top right corner

  3. Give your project a Project Name

  4. Set an Expiration Date for your project

  5. Select files to upload. (ConsignO accepts the following file formats: .pdf, .doc, .docx, .dot, .dotx, .dotm, .rtf, .txt, .xml, .vcf, .ics, .wpd, .ppt, .pptx, .pps, .pot, .potx, .potm, .ppa, .ppam, .vsd, .vdx, .vdw, .vss, .vsx, .mpp, .mpy, .mpd, .mpw, .mpx, .pub)

  6. Click on Signers

  7. You can search for the external signer by their name or email in the search criteria in All address books

  8. If found, check the checkbox next to their name and click Add

  9. If not found, click on New signer

    1. Click Trusted electronic signature

    2. Enter the contact’s first name and last name and email address

    3. Click Next an

    4. On the Contact authentication page, you will be able to select the second authentication factor. The best practice is to use a Shared Secret. This will create a security question and an answer that will act as a password for the external signer to use when signing the document. On this page you will also be able to select which address book to add the new signer. Best practice is to add it to your own address book if it is just for you or add it to your group’s address book if you want to share it with the users in your group.

e.      Click New to save your contact.

  1. You will now see the UW signer’s name under Number of zones available for you to drag and drop this signature zone to the appropriate location on your document

  1. Click Launch to send you project once complete or click

Save to save to send later.

  • Click on Signers

  • Try to find the external signer by the name or email in the search criteria in All address books

  • If found, click the checkbox next to their name and click Add

  • If not found, click on New signer

  • Click Trusted electronic signature

  • Enter the contact’s first name and last name and email address

  • Click Next

Important

Remember to download all of your contracts as this is not a document repository and your signed contracts/audit trail will be purged after 3 months.
