Requesting Key Control services (revisions happening May 2024)

Scheduling’s procedure below as it pertains to lock change requests:

PURPOSE

This procedure outlines the steps necessary to send a request to Key Control when a Registrar-managed classroom is requested to be locked by a room user (otherwise known as a lock change request).

                                                                                           

PROCEDURE

  • Scheduling’s Classrooms staff member or Central Stores Booking agent will ensure the room requestor has the room booked off in Infosilem Campus for the period they are seeking the space to be rekeyed/locked

  • One of the team members above will direct the room requestor to the Associate Registrar, Enrolment Services & Academic Policy and Executive Officer’s contact details (Jen Coghlin and Debbie Knepper current as of May 29, 2024) as it is they who approve the key sign-out and submit a work request for rekeying to take place

  • Either will use their Archibus account (https://uwaterloo.iwmsapp.com/archibus/login.axvw ) with the following navigation: Service Desk > Workplace> Select a Building> Services > Request > Maintenance & Operations Requests (Supply Chain Delays) > Locksmith > Lock Change (Rekeying)/Keypad Code Change > (fill in form and hit next) > Upload Photos (if applicable) > Send

  • Room requestors will be instructed on how/when to pick up and return keys. E.g.: pick up from Key Control and return it in the Proxsafe box at Police Services (COM bldg 15) when done for the day.

NOTES

  • ITMS requests for room rekeying will normally be for key number 70-1. They need no directives from Key Control as to where to pick up this key as they have them preassigned/in their possession.
