Booking REG Rooms During Final Exam Periods

I          PURPOSE

This procedure describes the method used by Examinations and Scheduling staff to book rooms in Campus for any final exams or related exam bookings during the final exam period. This procedure is in place to prevent bookings being scheduled immediately prior to/following a final exam related booking.  It will also address academic and non-academic ad-hoc bookings.

II         PROCEDURE

Standard exam period slots: Undergrad exams should stick to these time slots whenver possible to avoid student conflicts. This does not apply to grad exams.

9:00-11:30 a.m., 12:30-3:00 p.m., 4:00-6:30 p.m., and 7:30-10 p.m.

No matter the duration of the booking request – add 0:15 min setup and tear down time when adding a new reservation in Campus.

Enter the following classifications when booking any final exam related requests during the final exam period.

Scheduling Data Set: choose Final Exams in the drop down menu.

Event: choose the term you are booking (Spring/Fall/Winter).

Activity: choose the closest description to what you are booking from the drop down menu.

Reservation Type: Choose All exam related bookings

Do not book finals in the old wing of HH (unless specifically requested by the department that is aware of noise potential – noise complaints are possible from Dance recitals/Drama productions, etc.) We should also avoid the 4th floor of MC, and STC if possible during the examination period.

Note: Ad-hoc event bookings (unrelated to final exams booked by either Examinations, Scheduling or Central Stores Booking should add 0:15 min setup and tear down time when booking into Registrar-managed space during the Final Exam Period.

Exam related bookings can be any of the following but not inclusive: final exam, alternate/makeup/deferred exams, study sessions, extra space for AAS or CEL, etc.
