Security - Requesting access for Scheduling reps/WatRoom accounts for non-FTEs/On-boarding reps

PURPOSE

This procedure ensures that each new Scheduling Representative obtains accesses to various Scheduling-related websites.

PROCEDURE

When it is reported to a Scheduling team member. We need the following email sent to the department chair or manager.

Scheduling staff will fill in the template for the Chair so no details are omitted.

 

Hello (name of Dept Chair/designated manager),

We need a Jira to be created by you found at Waterloo Student Information Systems Access (Scheduling) please.

The types of security that can be requested:

DCU access to x courses (Scheduling staff will be in touch with x to set up a training session before access is granted)

Scheduling Teams site access (already granted)

Quest Course Catalog folder → Course Catalog and Course Catalog Search

Quest Schedule of Classes → Maintain schedule of classes and Class Search

Quest Course build for the courses they will taking care of (same as DCU access) (note: only leave this on the template if the Scheduling Rep handles UG courses)

WatRooms access - Please let us know if this staff member is part-time or on a contract, so we can assign access. All full-time, permanent UW Staff already have access.

Also if we need to retain any accesses for a current employee until further notice. Or instruct to remove accesses if the previous rep is leaving and not returning.

Add them to the UW Scheduling Reps team channel

Add them to the Scheduling Reps contact list

  • inform the Exam Specialist of who changed (Annette Ertal as of May 2024)

Add them to the Midterm Reps contact list

  • if applicable as not all subject codes ask for REG space for their midterms
