New Computer Setup

1. Connect to WiFi

  1. Turn on your laptop.

  2. Reach the login page.

  3. Click on the second icon in the bottom right corner. Then, click on eduroam.

  4. Click Connect.

  5. Enter your waterloo credentials (use your uwaterloo email). Then, click Ok.

2. Connect to VPN

  1. Click the first icon on the bottom right corner.

  2. The computer will attempt to connect to the VPN.

  3. Sign into the VPN with your uwaterloo account.

Use checkvpn.uwaterloo.ca to see your computer's VPN connection status.


In the Second Password field, enter one of the following (i.e. push, 6 digit code, bypass code, SMS, phone) then click OK.

For Duo Mobile push (app): 

  • Open your Duo app, select University of Waterloo, enter the code in the second password field [Recommended option], or

  • Enter ‘push' or 'push1’ to send the prompt to your primary device, or

  • Enter ‘push2’ to receive the prompt on a secondary device, ‘push3’ to receive the prompt on a tertiary device, etc.

For Duo hardware token: enter your 6-digit code

For Duo Bypass code: enter your bypass code

For SMS codes: enter ‘sms’; you will get a text message with 10 codes. Re-enter your password, and type the first code in the second password field.

For YubiKey: enter the code generated by touching the YubiKey

For Security key: unable, use another method

For Phone Call: enter 'phone'

  • Enter ‘phone2’ to receive the prompt on a secondary device, ‘phone3’ to receive the prompt on a tertiary device, etc.

  • If you are not receiving Duo phone calls, you may have a setting that is blocking the phone calls. Some possible solutions include adding the Duo phone number, (306) 900-4884, to your device whitelist, or if the service is blocking unknown callers, add the Duo phone number as a contact on the device.

    • iPhone: 'Silence Unknown Callers'

    • Telus/Koodo: 'Call Control'

    • Android: 'Block Unknown Callers'

    • Call Control or Call Blocker app

    • Any anti-spam service

3. Log into your account

  1. Click on the option Other user.

  2. Sign in with your WatIAM and password.

  3. Press Enter on your keyboard.

4. Check VPN Connection

  1. Open VPN by clicking on the Cisco icon on the bottom right corner, or search up Cisco from the start menu. If Cisco is not connected, click Connect.

  2. Sign in with your credentials.

5. Log into OneDrive

  1. Open OneDrive by searching OneDrive in the search bar at the Start Menu.

  2. When prompted, enter your Microsoft account credentials (email and password).

  3. Additional informative windows will pop up. Just click continue for all the windows until you are prompted to open up OneDrive.

     

  1. Sign in to Adobe with your email account.

  1. This will get you to the two-factor authentication window.

  1. It will ask you if you want to keep your signed-in. You can only be signed in two devices at a time.

7. Restore Bookmarks (Optional)

  1. Open File Explorer by pressing Windows Key + E.

  2. In the left sidebar, click on OneDrive to open it.

  3. Make sure the backed-up bookmark files are here in your OneDrive. If you cannot find the files, OneDrive may not have finished syncing yet!

    1. To speed up the syncing process, click on OneDrive in the bottom right corner of the screen, click on the cogwheel, and then click on Settings.

    2. In the new window, click Manage backup on the Sync and backup page.

    3. A new window labelled Back up folders on this PC will pop up. Make sure to toggle the three switches (from grey to blue) and click Backup. OneDrive would have backed up the content in your Documents, Pictures folder and Desktop when the window looks like the following image.

    4. Wait until you can see the bookmark files in your oneDrive.

  4. Open Chrome/Firefox/Microsoft Edge and sign into your account.

  5. Import the bookmarks into the web browser.

    1. Import your bookmarks into Chrome by following the instructions under Add bookmarks to Chrome from Google Chrome Help.

    2. Import your bookmarks into Firebox by following the instructions from the article: Import Bookmarks from an HTML file.

    3. Import your favorites into Microsoft Edge by following the instructions from the article: Import your favorites in Microsoft Edge.

8. Connect to Shared Mailboxes in Outlook (Optional)

Adding a shared mailbox to Outlook (Classic)

To add a shared mailbox it is necessary to have all of the following:

  • “Send-as” and/or full access permissions to all folders of the shared mailbox

  • Your own username requires permission to the shared mailbox. (ETIS can help you request access.)

  • Permissions on Windows Nexus computers become effective the next time you log onto the machine after the mailbox permission change has been made. You may need to log out from your Nexus account on the machine and then log in again to add the account and access the mailbox.

Contact ETIS if your account does not meet the above requirements.

Determining if you are using Outlook (classic) or Outlook (new)

You can figure out whether you are using Outlook Classic or Outlook New by the task bar on the top of the window. Classic will have a File tab, while New will not.

If you’re using Outlook New, please follow the instructions for adding a shared mailbox to Outlook (New) instead.

Adding a shared mailbox to Outlook

  1. Open Outlook Classic.

  2. Click on the File tab in the ribbon near the top of the window.

  3. Click on the + Add Account button (This button is located in the Info tab, and is titled Account Information).

  4. Type the 8-character username of the shared mailbox @uwaterloo.ca, then click the Connect button.

  5. Click the Back button at the window prompting you to type the password for the shared mailbox email address.

  6. Edit the username to match your own 8-character username email (ex. username@uwaterloo.ca) then click the Next button.

  7. Enter your password and then click the Sign in button.

  8. Complete the DUO 2-Factor Authentication. 

  9. Click the Done button.

10.  Quit/close the Outlook app and then relaunch to access the mailbox.

 

 

Disable the Offline Cache for the Shared Mailbox

It is important to disable offline cache if you added a shared mailbox in Outlook to have real-time synchronization with the email server. This prevents duplicate responses and calendar conflicts.

How to disable offline Cache:

  1. Click the File tab at upper-left of the Outlook window.

  2. Click Account Settings to open a drop-down menu, and then click Account Settings….

  1. In the new pop-up window, navigate the the Email tab. Then, double-click on the shared mailbox email address.

  1. Uncheck Use Cached Exchange Mode to download email to an Outlook data file.

  2. Click Next.

  1. Close all Outlook windows. Restarting Outlook is needed to allow the application to apply the changes.

Adding a shared mailbox to Outlook (New)

If you add the permissions in Exchange, the shared mailbox should appear in the new Outlook under the shared with me folder, located in the sidebar, after a few minutes. You can expand it to see if this is the case. If it is still not appearing, you can try to add it with the following steps and check whether the shared mailbox displays in your Folder list under this folder.

Determining if you are using Outlook (classic) or Outlook (new)

You can figure out whether you are using Outlook Classic or Outlook New by the top task bar on the top of the window. Classic will have a File tab, while New will not.

Adding a shared mailbox to new Outlook

  1. Open Outlook (New).

  2. Hover your mouse over the Shared with me folder in the left navigation pane. A button with three dots will pop up. Clicking on this button will Hover your mouse overclick on the three dots and then choose Add shared folder or mailbox

  3. In the Add shared folder or mailbox.  dialog box, type the name or email address of the shared mailbox, and then click Add.

  1. You can view the shared mailbox under “shared with me“ option.

Outlook New does not support offline cache. So. there is no need to disable it or worry about duplicate responses and calendar conflicts.

Opening a shared mailbox via web browser

  1. Open a web browser and go to https://outlook.office.com/.

  2. Log in using your personal UW email address.

  3. Click Yes for the next window. This will bring you to your Outlook account on a web browser.

  4. In the top right-hand corner, click on your display picture (or initials) and then select Open another mailbox.

  5. Start typing in the mailbox address (i.e. env-help@uwaterloo.ca), select it, and click Open.

  6. Now, in your Outlook inbox from your browser, you will see the shared inbox near the bottom of the sidebar.
