Setting Evaluators and Publishers in Dropbox

In a LEARN Dropbox, the default settings allow anyone with the ability to grade a Dropbox (e.g., Instructor, TA roles, etc.) to evaluate and/or publish Dropbox submissions. Setting evaluators explicitly and assigning them to grade specific students allows the Instructor more control over the Dropbox grading process.

Completing these steps will functionally prevent some evaluators from being able to edit and/or publish feedback and grades of students not assigned to them. If you wish to allow all course staff to edit and/or publish any student attempt, do not complete this process.

It is not possible to complete these steps if your Dropbox has already received submissions. Furthermore, if you remove any of the options below after a submission has been received, you also will not be able to complete these steps again.

It is strongly recommended that any allocation of students to unique evaluators be based on LEARN Groups. You can use pre-existing groups that may already have another purpose, or you could make a unique Group Category just for the division of grading. Please see our Groups documentation for steps on how to make groups.

Step-by-step guide

  1. Go to the course in LEARN where you wish to set specific evaluators for a Dropbox.

  2. Click Submit > Dropbox in the navigation.

  3. Click on the dropdown menu next to the desired Dropbox and choose Edit Folder, or click New Dropbox if you wish to create a new Dropbox.

  4. Expand the Evaluation & Feedback section.

  5. Click Select Evaluators.

  6. Choose all staff in the class who will be involved with grading this Dropbox in some way and click Done. Up to three new sections will now have appeared in the Evaluation & Feedback section: Publishers, Allocate Evaluators to students, and Coordinate Multiple Evaluators (Allocate Evaluators to students will only appear if more than one evaluator has been selected).

  7. Click the menu under Publishers and choose the desired setting:

    • All evaluators can publish any evaluations

    • Evaluators can only publish their evaluation

    • Manually select publishers

      • If you choose to Manually select publishers, click on the Select Publishers button that will appear to assign who can publish the evaluations.

  8. Click Manage Allocations to pick the students each evaluator will evaluate.

We recommend not using the Default Allocation Method section and its options. Instead, we recommend creating LEARN Groups in the Groups tool to help with allocations in this step. Please see our Groups documentation for steps on how to make groups if needed.

  1. By default, all students will be allocated to all evaluators. To deselect all allocations, use the Clear Table Selections button.

  2. Use the Groups filter to show only students in selected groups. Then use the checkboxes at the top of a column to allocate all students in these groups to the evaluator listed in the header of that column.

  3. Repeat the previous step with each group of students you need to assign to an evaluator.

  4. Click Done.

  5. Under Coordinate Multiple Evaluators, choose how the evaluation process works when there are multiple evaluators allocated to the same student:

    • One shared evaluation - all evaluators work on the same evaluation together. Publishers release this evaluation to students.

    • Multiple individual evaluations - evaluators work on their own evaluations separately. Publishers aggregate results into one final evaluation and release it to students.

  6. Click Save and Close to save the Dropbox settings.
