Forward email from M365 to external account

"Redirecting" via Inbox Rules

If you want the email to appear as if it came directly from the original sender use a Redirection rule:

  1. Sign in to Outlook Web.

  2. Click the Settings (gear icon) in the top right corner.

  3. In Outlook Web Settings, go to Mail > Rules.

  4. Click + Add new rule.

  5. Name your rule (e.g., "Redirect to external").

  6. Under Add a condition, select Apply to all messages.

  7. Under Add an action, select Redirect to.

  • "Redirect to" will send emails as if they came directly from the original sender's email address.

  • "Forward to" will send emails with an "FW:" appearing at the beginning of the subject line and the body of the email will contain the original message and the message's history details.

  1. Enter your email address.

  2. You can add additional actions if you need (e.g., Mark as read, move to deleted).

  3. Add an exception if necessary. Exceptions can help you to narrow down the list of affected messages.

  4. Check the "Stop processing more rules" box if necessary.

  5. Click Save.
